Event Terms & Conditions

1. Introduction

These Event Terms & Conditions govern registration for and participation in events organized by the Environmental Science Discipline Alumni Association (ESDAA), Khulna University.

By registering for an event through https://events.esdaaku.org/, you agree to these Terms & Conditions and any additional rules published for the specific event.

2. Event Organizer

All events listed on this platform are organized by ESDAA.

The event portal is intended exclusively for ESDAA’s official activities, including alumni gatherings, reunions, seminars, workshops, meetings, and other association events.

3. Eligibility and Registration

Eligibility requirements may differ between events.

Certain events may be restricted to ESDAA members, alumni, invited guests, family members, or other designated participants.

Participants must provide accurate and complete registration information.

ESDAA may verify registration details and decline or cancel registrations that contain materially false or misleading information, subject to applicable law.

4. Registration Confirmation

A registration is considered confirmed only after all applicable registration requirements have been completed and any required payment has been successfully verified.

Submitting a registration form alone does not guarantee confirmation.

ESDAA may issue digital tickets, confirmation emails, or other registration acknowledgements.

5. Event Fees and Payments

Some events may require registration fees or participation contributions.

Payments must be completed using the methods authorized for the relevant event.

Participants are responsible for verifying payment details before completing a transaction.

Payment-related issues should be reported promptly to ESDAA.

6. Tickets and Admission

Participants may be required to present a valid digital ticket, QR code, registration confirmation, or identification at the event venue.

Tickets may be valid only for the specified event and registered participant.

Unauthorized duplication, resale, or transfer of tickets is prohibited.

ESDAA may refuse admission where registration requirements are not met or a ticket is found to be invalid, subject to applicable law.

7. Participant Conduct

All participants are expected to maintain respectful and appropriate behavior during ESDAA events.

Participants must:

• Follow reasonable instructions from event organizers and authorized personnel.
• Respect other attendees, guests, and event staff.
• Comply with venue rules and applicable laws.
• Avoid harassment, discrimination, violence, and disruptive conduct.
• Refrain from damaging event facilities or property.

ESDAA may remove participants whose behavior threatens safety or seriously disrupts an event.

8. Event Schedule and Changes

ESDAA reserves the right to make reasonable changes to event schedules, venues, speakers, activities, and arrangements when necessary.

Significant changes will be communicated to registered participants where reasonably practicable.

Event cancellations and postponements will be handled according to the Event Refund & Cancellation Policy.

9. Cancellation and Refunds

Refunds, registration cancellations, event postponements, and related requests are governed by the Event Refund & Cancellation Policy and any applicable event-specific conditions.

Participants should review the relevant refund conditions before making a payment.

10. Photography and Recording

ESDAA may photograph, record, or document events for organizational, archival, reporting, and promotional purposes.

Participants should be aware that photographs or recordings may include attendees.

Privacy concerns relating to event photography may be submitted to ESDAA for review in accordance with the Event Privacy Policy.

11. Personal Belongings and Safety

Participants are responsible for taking reasonable care of their personal belongings.

ESDAA will take reasonable steps within its control to support safe event arrangements.

Participants must follow applicable safety instructions and report hazards or emergencies to event personnel.

Nothing in these terms excludes liability that cannot lawfully be excluded.

12. Third-Party Services

Events may involve external venues, caterers, transportation providers, payment processors, or other service providers.

Such providers may operate under their own applicable terms and policies.

ESDAA is responsible for its own organizational obligations but does not guarantee uninterrupted performance of services outside its reasonable control.

13. Intellectual Property

Event materials, publications, designs, logos, and other content owned by ESDAA may not be reproduced or commercially distributed without appropriate authorization, except where permitted by law.

14. Privacy and Personal Information

Personal information collected during event registration and participation will be handled according to the Event Privacy Policy and the website’s Privacy Policy.

15. Limitation of Liability

To the extent permitted by applicable law, ESDAA is not responsible for losses caused solely by circumstances beyond its reasonable control.

Nothing in these Terms & Conditions limits any mandatory consumer rights or liability that cannot legally be excluded.

16. Governing Law

These Terms & Conditions are governed by the applicable laws of Bangladesh.

Any dispute arising from event registration or participation will be addressed in accordance with applicable Bangladeshi law.

17. Changes to These Terms

ESDAA may revise these Terms & Conditions when necessary.

Updated terms will be published on the event portal. Material changes affecting existing registrations will be communicated where reasonably appropriate.
