Event Refund & Cancellation Policy

1. Introduction

This Event Refund & Cancellation Policy applies to registrations, tickets, and participation fees for events organized by the Environmental Science Discipline Alumni Association (ESDAA), Khulna University, through https://events.esdaaku.org/.

ESDAA aims to maintain fairness and transparency in handling registration cancellations, refund requests, and changes to scheduled events.

2. Event Registration Fees

Registration fees, participation contributions, and ticket prices are determined separately for each event.

All applicable charges will be displayed during the registration process or communicated through the official event announcement.

3. Cancellation by Participants

Participants who wish to cancel their registration should contact ESDAA at [email protected].

Refund eligibility depends on the specific event’s published conditions, the timing of the cancellation request, and any expenses already incurred by ESDAA.

Unless otherwise stated for a particular event, registration fees are not automatically refundable following a participant’s voluntary cancellation.

Submitting a cancellation request does not guarantee a refund.

4. Cancellation by ESDAA

If ESDAA cancels an event, registered participants will be notified through available communication channels.

For paid events cancelled by ESDAA, participants will generally be eligible for a refund of the registration fee paid, unless an alternative arrangement is agreed upon or applicable law provides otherwise.

Any non-refundable external expenses, if relevant, will be handled in accordance with the event-specific terms and applicable law.

5. Event Postponement or Rescheduling

ESDAA may postpone or reschedule an event due to unavoidable circumstances.

In such cases:

• Existing registrations will normally remain valid for the rescheduled event.
• Participants will be informed of the revised schedule.
• Participants unable to attend the rescheduled event may request a refund.
• Refund requests will be reviewed based on the event’s circumstances, published conditions, and applicable law.

6. Duplicate or Incorrect Payments

Participants who experience duplicate payments, incorrect charges, or payment processing errors should contact ESDAA with relevant transaction details.

After verification, any confirmed excess or incorrect payment will be refunded or otherwise resolved through an appropriate payment method.

7. Refund Processing

Approved refunds will normally be issued through the original payment method where supported by the payment provider.

If the original payment method is unavailable, ESDAA may arrange another appropriate refund method after verification.

Processing time depends on the payment provider, banking system, and verification requirements.

Any applicable payment processing charges or deductions will be communicated where relevant and handled in accordance with applicable law.

8. Non-Attendance

Failure to attend an event after successful registration does not automatically qualify a participant for a refund.

Exceptions may be considered at ESDAA’s discretion or where required by applicable law.

9. Ticket Transfers

Ticket transfers or changes to registered attendee information are permitted only when authorized under the relevant event’s registration rules.

Participants should contact ESDAA before transferring a registration or ticket.

10. Force Majeure

ESDAA may cancel, postpone, or modify an event due to circumstances beyond its reasonable control, including natural disasters, public emergencies, government restrictions, severe weather, or other unforeseen disruptions.

Refunds and alternative arrangements in such circumstances will be determined fairly, considering the specific event, incurred costs, and applicable legal requirements.

11. How to Request a Refund

To request a refund, please email [email protected] with:

• Registered participant’s name.
• Event name.
• Order or ticket number.
• Payment transaction reference.
• Reason for the refund request.

ESDAA may request additional information to verify the registration and payment.

12. Policy Updates

ESDAA reserves the right to revise this policy when necessary. Any changes will be published on the event website.

Changes will not override mandatory legal rights or applicable event-specific commitments.
